Privacy Statement

This statement explains what personal data RunOps Digital collects, why, who it is shared with, how long it is kept, and the rights you have over it. It is written to meet India's Digital Personal Data Protection Act, 2023 and Digital Personal Data Protection Rules, 2025, and the Information Technology Act, 2000 and its rules on sensitive personal data. It stands on its own: you do not need to read any other document to understand it.

1. WHO WE ARE

RunOps Digital is the web application at https://runops.digital, its Telegram bot, and the messages it sends by email, Telegram and WhatsApp (together, RunOps Digital, or RunOps for short). RunOps is provided by LINCHPIN DATATECH PRIVATE LIMITED (we, us), which decides why and how your personal data is processed (the Data Fiduciary).

2. THE PERSONAL DATA WE PROCESS, AND WHY

We collect only what each feature needs. For each item: what it is, where it comes from, and what it is used for.

(a) Your name and username. From you, or from your Telegram account if you sign in with Telegram. Used to create your account and to show the people you work with who did what.

(b) Your email address. From you, or from the person who invited you. Used to send you sign-in codes, invitations and the notices you choose (for example "Your turn").

(c) Your mobile number. From you, or from the person who invited you. Used to send you sign-in codes by WhatsApp, to send you an invitation by WhatsApp when someone shares something with you by your number, and to send a notice by WhatsApp only when you have no Telegram and no email set up. You can switch WhatsApp notices off.

(d) Your Telegram details: user ID, username, display name, language, profile photo and your chat with the RunOps bot. From Telegram, when you use the bot or open RunOps inside Telegram. Used to sign you in and to send you cards, reminders and notices in Telegram.

(e) What you add to RunOps: tasks, lists of steps (RunBooks), notes, comments, journal entries, files, photos and voice notes. From you. Used to provide the service to you and to the people you choose to share them with.

(f) Text and voice notes you send to be sorted. From you. When you send the bot a message or a voice note, or ask RunOps to plan something for you, the text or audio is sent to an artificial-intelligence (AI) provider to turn it into a task or a plan (see section 4). Only the content is sent, not your contact details.

(g) Details of people you invite: their name and their email address or mobile number. From you. Used only to send them the invitation you asked us to send and to let them sign in to the item you shared. See section 7.

(h) Your settings: time zone, quiet hours, the order of channels you want to be told on, and notification choices. From you. Used to tell you about things when and how you want.

(i) Sign-in and security data: one-time codes (stored only in scrambled form and valid for 10 minutes), sign-in times, IP address, browser and device type, and records of what was done in your account and when. Collected automatically. Used to keep your account secure, to prevent abuse, to fix faults, and to keep the records the law requires.

We do not collect payment details while RunOps is offered free as RunOps Preview. We do not sell personal data, use it for advertising, or build advertising profiles.

3. WHY WE ARE ALLOWED TO PROCESS IT

We process your personal data with your consent, which you give when you sign up or accept an invitation, and for the uses the law allows without separate consent: data you give us voluntarily for a stated purpose, and data we must keep or disclose to comply with the law or a lawful order.

You can withdraw your consent at any time, as easily as you gave it, by writing to system@mylinchpin.tech and telling us how you sign in to RunOps, so that we can confirm it is you. When you withdraw, we and our service providers stop processing your personal data within a reasonable time and erase it as described in section 8, unless the law requires us to keep it. Withdrawing does not make earlier processing unlawful. Without your personal data, RunOps cannot keep providing you its service.

4. WHO WE SHARE IT WITH

People you share with. Whatever you share in RunOps, and your name and picture next to it, is visible to the people you share it with, with the access you give them.

Service providers who process data for us, under contract and only on our instructions:

– DigitalOcean: hosting and file storage. Your files and our backups are stored in India (Bangalore).

– SMTP2GO: delivery of our emails.

– Meta Platforms (WhatsApp): delivery of sign-in codes, invitations and last-resort notices to mobile numbers.

– Anthropic, OpenAI and Groq: AI providers that turn your messages and voice notes into tasks and plans. Under their terms they may not use this content to train their models; they may keep it for a short time (usually no more than 30 days) to keep their service safe, and then delete it.

Telegram. If you use the RunOps bot or open RunOps inside Telegram, your messages and Telegram details also pass through Telegram, which handles them under its own privacy policy. The same applies to WhatsApp for messages you receive there.

Others, only when needed: a buyer or successor if our business is transferred, bound by this statement; and authorities or courts, when the law requires it or to protect the safety and rights of people and of RunOps.

You may ask us for the full list of the companies we have shared your personal data with (section 9).

5. TRANSFERS OUTSIDE INDIA

Some of our service providers process data outside India, mainly in the United States (the AI providers) and in other countries where Meta, Telegram and our email provider operate. We transfer personal data outside India only as Indian law permits, and we will follow any restriction the Government of India places on transfers to a country or territory.

6. COOKIES AND STORAGE ON YOUR DEVICE

RunOps stores a sign-in token and your display preferences in your browser so that you stay signed in. We use no advertising or third-party tracking cookies and no analytics that track you across sites.

7. IF SOMEONE INVITED YOU

If someone shares something with you in RunOps, they give us your name and your email address or mobile number, and we send you one invitation. If you do not accept it, we keep your details only until the invitation is accepted, withdrawn by the sender or expires, and we do not use them for anything else. If you do not want to be invited again, or want your details erased, write to system@mylinchpin.tech.

8. HOW LONG WE KEEP IT

We keep your personal data while your account is active and you need it for RunOps.

– Items you remove go to the Bin, from which they can be restored, until they are permanently erased.

– When you ask us to delete your account, or withdraw consent, we erase or anonymise your personal data within 30 days. Items you created in a shared group may stay with that group, without your name.

– The law requires us to keep records of processing, sign-in and security logs and the personal data linked to them for at least one year from each processing, even after an account is deleted. We keep them only for that purpose and then erase them.

– Backups are replaced on a rolling schedule, so erased data leaves our backups as they are replaced.

9. YOUR RIGHTS

You have the right to: (a) get a summary of the personal data we process about you and what we do with it, and a list of the companies we have shared it with; (b) have inaccurate or incomplete data corrected, completed or updated; (c) have your personal data erased when it is no longer needed or when you withdraw consent, unless the law requires us to keep it; (d) withdraw your consent (section 3); (e) have a complaint about our handling of your data resolved (section 10); (f) nominate another person to exercise these rights for you if you die or become unable to act. To nominate someone, write to us with their name and how to contact them.

To use any of these rights, write to system@mylinchpin.tech and tell us how you sign in to RunOps, so that we can confirm it is you. We may ask a simple question or send a one-time code to check your identity before acting. A lawful guardian may act for a person with a disability; we will ask for proof of guardianship.

10. COMPLAINTS AND THE GRIEVANCE OFFICER

Write to our Grievance Officer at system@mylinchpin.tech. We will acknowledge your complaint within 24 hours and resolve it within 15 days. If you are not satisfied with our answer, you may complain to the Data Protection Board of India, after first using this grievance process.

11. HOW WE PROTECT IT

We use encrypted connections (HTTPS) for everything RunOps sends and receives, encrypted storage for files and backups, access limited to the people who need it, sign-in tokens that expire, records of access, and contracts with our service providers that require them to protect your data.

If a breach affects your personal data, we will tell you without delay, through your account or your registered email or mobile number: what happened, what it may mean for you, what we are doing about it, what you can do, and whom to contact. We will also report it to the Data Protection Board of India and to CERT-In as the law requires.

12. CHILDREN

RunOps is for people aged 18 and over. We do not knowingly collect personal data from anyone under 18 and do not track, monitor the behaviour of, or show advertising to children. If we learn that a user is under 18, we will close the account and erase their personal data. If a task or note mentions a child, keep it to what is needed.

13. LANGUAGE

This statement is in English. If you would like it in a language listed in the Eighth Schedule to the Constitution of India, write to system@mylinchpin.tech and we will provide it.

14. IF YOU LIVE OUTSIDE INDIA

RunOps is provided from India and Indian law governs how we process your personal data. If the law where you live gives you further rights, write to us and we will help you use them.

15. CHANGES TO THIS STATEMENT

We will tell you by email or in RunOps before a change takes effect, and show the new version and its effective date at the top. If we want to use your personal data for a new purpose, we will ask for your consent first.
