The day, as you know it
"I make the run sheet, send the PDF to the big group, then spend the day ringing the decorator, the caterer and the sound crew to check they've seen their bit. Something changes, I send it again, and nobody knows which version is current."
What changes
- Each vendor is told their step when it's their turn. The venue manager, decorator, sound crew, caterer and photographer each have a step with a time. When one is done, the next is told. You watch the run fill in instead of ringing round.
- Vendors install nothing. Sofia adds each vendor by email or mobile number. They get one message, open it in any browser, type a 6-digit code and see the day. Or she shows them a QR code at the venue.
- The proof stays on the step. The decor photos, the bills and the client's "yes" sit on the step they belong to, not in a chat. The client's family can follow along as Can view, without changing anything.
The ready-made: Wedding day run sheet
Ten steps for one function day, started the evening before: venue hand-over, decor with photos, sound and lights, catering, make-up, the entry cue, the ceremony, coverage, and tear-down with damages noted in the Shared journal.
Also ready: Event planning, from goals and budget to the thank-yous, and, for agencies, Weekly client approval round.
What a vendor sees
That day's run, with their own step marked as theirs, and nothing else of yours. They answer "On it" or "Can't do it", add a photo or a note, and tick done.
What it does not do
No quotes, invoices, seating or floor plans. It needs a signal: there is no offline mode, so where the venue has none, keep the paper sheet beside it. A step can carry a photo but cannot yet insist on one. For your first events, run it alongside what you do now.
