The week, as you know it
"Every order goes through stores, production, inspection, packing and the courier, and I'm the only one who knows where each one is. Status is a phone call to me. The customer's chat group is where I find out something slipped."
Many of those hands are outside the business: the supplier, the outside process, the courier, the buyer.
What changes
- One job card, a name on every step. Write the order's steps once and start a run for each order. When a step is done, the next person is told. You stop being the one who carries the status.
- People outside the business do their step from one link. Tom's supplier gets an email or a WhatsApp invitation to his mobile, opens it in any browser, types a 6-digit code, attaches the challan and ticks done. Nothing to install, nothing to pay.
- You see what slipped in one place. Your group's Overview shows what is overdue and who holds it, across every order. Each run keeps its photos, comments and dates.
The ready-made: Job card, order to dispatch
Eleven steps for one order: confirm the order, check material, the supplier's delivery date, build, the outside process, inspection, packing, the courier's docket, telling the buyer, the invoice, and the buyer's "it arrived". Start one run per order.
Also ready: Vendor payment run, New joiner onboarding, and, for India, Monthly statutory and safety round. Printers, publishers and school exam offices: Chapter to press and Term exam cycle.
What the supplier and the courier see
That order's run, with their own step marked as theirs, and nothing else of your business. They answer "On it" or "Can't do it", and tick done.
What it does not do
It is not an inspection tool: a step can carry a photo but cannot yet insist on one, and there is no location tracking. It needs a connection, its screens are in English, and it does not connect to your accounts, stock or point-of-sale software.
Every order passes through many hands. Each one gets their turn.
